Summary Description:
This is an exciting opportunity in a fast-paced biotech company for a top-notch career Executive Assistant to provide high-level support and partnership to Codagenix’s Chief Executive Officer and other Executive Team members. The ideal candidate will be highly proactive and detail oriented with the ability to build trust and credibility quickly with team members in a remote environment. In this highly visible role, the Executive Assistant should have a high degree of initiative, self-direction, professionalism and self-confidence to understand the importance of performing their role seamless to enable the executives to be more efficient and effective in their respective roles.

Responsibilities Include:

  • Day-to-day support for CEO and other Executive Team members
  • Domestic and international travel planning for all Executive Team members
  • Travel expense reporting for all Executive Team members
  • Proactively provide calendar management for the CEO
  • Meeting and event planning; including but not limited to Board of Directors’ meetings, conferences, investor road shows, and various meetings that span several time zones and include other busy executives.  These meetings include logistical arrangements for all aspects; travel, hotel, hospitality, audiovisual, meeting scheduling within the conferences and other aspects specific to each event.
  • Assemble/assist in compiling, editing, posting and electronically organizing background materials for meetings and presentations
  • Maintain files for CEO and Executive Team members
  • Assists with office administration and daily onsite business operations 
  • Identifies needs, innovates solutions and gains appropriate approvals with a focus on continuous improvement
  • Assists with the coordination and planning of all company meetings and events
  • Project lead for special projects as needed
  • Available before/after hours, when necessary

Required Qualifications:

  • AS Degree or BA/BS Degree
  • Minimum of 8-10 years of related C-suite executive level administrative support. Experience within the biotech/pharmaceutical industry is highly preferred
  • Demonstrated ability to manage multiple, simultaneous, complex tasks and to meet deadlines
  • Understands the importance of and demonstrates the highest level of confidentiality
  • Demonstrates flexibility and professional maturity to proactively and readily understand priorities and anticipate needs
  • Model team player, demonstrates excellent judgment and works well independently
  • Highly organized and detail oriented with excellent written and verbal communication skills
  • Confidence in their abilities, which includes clarifying to resolve issues independently
  • Willingness to grow and learn to understand the business and develop skills to increase their level of independence and autonomy
  • Ability to work with minimal direction and be able to exercise judgment, creativity, and analytical thinking
  • Highly proficient in Microsoft office suite including Outlook, Word, Excel and PowerPoint
